Position Name Legal/Contracts Assistant  

Reports to Contracts Manager

Division Retirement Fund Administration

Key Performance Objectives

• Prepare weekly work via the task list
• Follow ups via correspondence to the FSB, SARS and consultants
• Maintain & build client relationships with FSB, SARS and consultants
• Drafting of rules, special rules & amendments
• Responding to outstanding matters with the FSB & SARS
• Prepare weekly production report for monitoring purposes & submit to management
• Audit all legal files, scanning & follow up on missing correspondence
• Prepare correspondence to be delivered to the FSB on a weekly basis
• Ensure all rules & amendments are sent to the relevant consultant for signature
• Ensure all rules & amendments are submitted to the FSB & SARS
• Attend to all aspects of Fund de-registrations
• Resolution drafting
• Assist principal consultants, principal officer & chairman
• Submission of Fund appointments to FSB
• Investigating & responding to adjudicator complaints with regard to death claims, withdrawals & benefit statements
• Supporting & assisting consultants with legal matters
• Assisting consultants with regard to section 14 process


Applications in respect of Section 14 of the Pension Funds Act
• Source information pertinent to Section 14 documents;
• Draft Section 14 Applications;
• Liaise with Consultants , Actuarial, Client, Administrators and Rules drafter in respect of Section 14;
• Liaising with the Financial Services Board;
• Submission of the finalized S14 document to the FSB;
• Follow ups with the FSB and/or other administrator ;
• Updates to relevant parties regarding progress of the Application;
• Attend to queries from the FSB;
• Drafting Extension Applications;
• Uploading documents on Magic ( FSB system);
• Maintaining and updating a spreadsheet of all the section 14’s;
• Spreadsheets & Statistics for various clients;
• Research Historical Section14’s;
• Implement legislative changes in terms of Section 14’s.

  Pension Funds Adjudicator Complaints

• Liaising with the PFA offices;
• Maintaining and updating a spreadsheet of all the Complaints;
• Submission of all responses to PFA Complaints;
• Manage Meeting request process;
• Reschedule of Conciliation Hearings and Requesting teleconferences;
• Applying for extensions;
• Managing queries;
• Opening of Electronic Complaint folders;
• Updates to all parties where necessary ;
• Follow ups in respect of Complaints.

        Monitoring

• Monitor 100% use of electronic data i.e. uploads, downloads, comparison etc
• Monitor -100% compliance with the style guide
• Monitor-100% compliance with legislation
• Monitor-100% compliance with company processes and procedures
• Use of task control – measure turnaround times
• Checking of work for quality and accuracy

• Assist in preparing for and running client meetings
• Ensure that minutes and feedback is provided after client meetings.
      Minimum Qualification

• A three year relevant qualification
Experience

• At least 5 EB Experience
• Advanced Excel experience
